Terms of service

The agreement between CYA Systems and the organizations that subscribe to the platform.

Last updated September 17, 2026

These terms govern your use of the software and services provided by CYA Systems ("we", "us"). By creating an account, subscribing to a plan, or using the platform, you agree to them on behalf of your organization.

The service

We provide a hosted, multi-tenant operations platform. Your subscription grants your organization a non-exclusive, non-transferable right to use the modules included in your plan for the duration of your subscription. We may add, change or remove features, and we will not materially reduce the functionality of a plan you are paying for without notice.

Your account

You are responsible for the accuracy of your account details, for the activity of the users you invite, and for keeping credentials secure. Your plan carries a seat limit; adding users beyond it requires a plan change. You must tell us promptly if you believe an account has been compromised.

Your data

You own the data your organization puts into the platform. We process it to provide the service, and for no other purpose. We do not sell it, and we do not use one customer's data to serve another.

You can export your organization's data as a single document at any time from inside the workspace, including while a subscription is active and while you are deciding whether to renew.

Your customers and your brand

The platform sends messages, documents and pages to your customers under your brand, from accounts you connect. You are responsible for that content and for your relationship with those customers. We do not contact them on our own behalf.

Acceptable use

You agree not to:

  • use the platform to break the law, or to help anybody else do so;
  • attempt to access another organization's data, or to probe, scan or test our defences without written permission;
  • resell or sublicense access to the platform except as your plan allows;
  • send unsolicited bulk mail or messages through connected accounts; or
  • interfere with the operation of the service for anyone else.

Third-party accounts

The platform connects to services you bring: email delivery, payments, messaging and domains. Your use of those services is governed by their own terms, and you are responsible for their fees. We are not liable for their availability or their decisions.

Fees and payment

Subscription fees are billed in advance for each period and are non-refundable except where required by law. We may change pricing with notice before your next renewal. If payment fails we will attempt to reach you; an unresolved balance may result in suspension of access.

Suspension and termination

You may cancel at any time, effective at the end of the current period. We may suspend or terminate an account for non-payment, for a breach of these terms, or where continued operation would put other customers at risk. Before termination we will give you a reasonable opportunity to export your data, except where the law prevents it.

Availability

We work to keep the platform available and will give notice of planned maintenance where we can. The service is provided as is, without warranties beyond those that cannot be excluded by law.

Liability

To the extent the law allows, neither party is liable for indirect, incidental or consequential loss, and our aggregate liability is limited to the fees you paid in the twelve months before the event giving rise to the claim. Nothing here limits liability that cannot lawfully be limited.

Changes to these terms

We may update these terms. Where a change is material we will give notice before it takes effect, and continued use after that date means you accept the updated terms.
